Bookkeeping Services

  • Provide coupon books for homeowners with the direction of the Board, regarding the monthly assessment amounts set forth by the annual budget.

  • Collect and deposit all payments made to our office on a daily basis, into your Associations FDIC insured operating account.

  • Make monthly deposits into reserve accounts as directed by the board.

  • Review and approve all invoices submitted for payment with Board’s guidance.

  • Prepare all checks for vendors and service providers.

  • Monthly bank reconciliations.

  • Prepare financial statements on a monthly basis including general ledger, income statement, balance sheet and delinquency report.

  • Coordinate tax return preparation with Association’s chosen CPA.

  • Close out fiscal year and update with new annual budget.

  • Prepare and distribute annual budget to all homeowners as required by law, while working with the Board.

  • Execute any CD investments, renewals, or transfers as directed by the Board.

  • Answer homeowner and vendor inquiries regarding all matters daily.

  • Assist title companies and lenders during all sales within the community.

  • Preparation and processing of past due notices

Meetings

  • Attend Board meetings as described in the management agreement.

  • Attend executive session board meetings as requested by the board.

  • Distribute all paperwork associated with the annual meeting (agendas, proxy, ballots, minutes, return envelopes)

  • Manage all returned proxies and keep Board informed of whether or not a quorum has been achieved

  • Attend meeting and provide administrative support

Management Services

  • Prepare and maintain copies of all correspondence on behalf of the Association in an electronic format.

  • Respond to all e-mail correspondence in a timely fashion

  • Serve as primary contact and liaison for Board with but not limited to: 
  •            - Homeowners 

               - Association vendors 

               - Legal counsel 

                - Insurance brokers/agents 

                - Lenders

                - Assessors
     
                - Title Companies 

                - Realtors 

                - CPA’s

  • Provide 24/7 after hours emergency services with the Association Manager.

  • Maintain Non-Profit Corporation filings.

  • Provide a team of customer Service Professionals to handle all Association needs

  • Conduct routine site inspections of the community for the purpose of identifying CC & R’s rule violations and checking on the performance of Association vendors.

Complaints and Communication

  • Provide means of communication between owners and management.

  • Assist Board with CC & R’s/Governing document interpretation, compliance with Washington laws.

  • Manage and assure all required Association insurance is correctly in place and renewed annually.

  • Fully understand and administer the provisions contained in the condominium documents as they relate to the management
    functions.

  • Enforcement of community rules

  • Recommend to the Board of Directors additional rules that need to be adopted as well as amendments to current rules that may not be realistic.

  • Work on owner-to-owner relations regarding problems with noise, odors, use of common areas, appearance of individual units, children, pets, etc.

Rules and Regulations

  • Fully understand and administer the provisions contained in the condominium documents as they relate to the management functions.

  • Enforce the rules, (community rules, swimming pool rules, tennis court rules, clubhouse rules, etc.)

  • Recommend to the Board of Directors additional rules that may need to be adopted/amended.

  • Work on, owner-to-owner relations regarding problems with noise, use of common area, appearance of individual units, etc.

Maintenance Services

  • Prepare bid specifications for larger jobs and oversee bid process

  • Coordinate entire process of small and large maintenance issues within the Community Association.

  • Project management of large community construction projects such as rehabilitation projects, additions, & upgrades

  • Create and implement a preventive maintenance program

  • Schedule and perform maintenance inspections

  • Oversee on-site custodial personnel, landscaping services and common areas

  • Review property conditions and make improvements where necessary

  • Maintain 24-hour emergency service, 365 days a year

  • Manage maintenance requests and secure timely performance
